Assign capabilities to an admin or staff member

Customize what an admin or staff member can see and do — capabilities layer on top of their role and inherit down the group tree.

Capabilities are the granular permissions that decide what an admin or staff member can read, write, or export in 360Player. They sit on top of the user's role and can be customized per organization or per group.

Read this first. If you're not sure how roles, capabilities, and inheritance fit together, start with How roles and capabilities work in 360Player. The rest of this article assumes that foundation.

Before you start

  • The user must already be Admin or Staff at the top level of the organization. Capabilities don't replace a role — they refine it.

  • Capabilities inherit down the group tree. A capability granted at the top level applies in every child group unless explicitly overridden.

  • Only an admin with the role-management capability can change another user's role or capabilities.

Assign or override capabilities

  1. Navigate to the top level of your organization.

  2. Open SettingsUsers.

  3. Find the user and click the three dots (···) next to their name. This opens a combined screen for that user's role and capability overrides.

  4. Pick the role from the dropdown at the top, then toggle each capability to Off, Read only, or Read and write as needed. Toggle Edit on a row to override the role default; Revert brings it back.

  5. Click Save.

What you can grant

Capabilities are organized into groups on the override screen. The current groups (with the most common controls in each) are:

  • Members & Users — read/write member and group-member records, export, manage parent-child relationships, edit user fields.

  • Groups & Organization — create or edit groups, manage site settings, manage identity providers, manage roles.

  • Team Calendar — read/write events, comment on events, export attendance.

  • Games & Sports — match data, game statistics, tournaments, minutes played.

  • Payments & Billing — read/write/export payments at organization or group level; manage form payments.

  • Scheduling & Bookings — scheduling rules, bookings, resources.

  • Training log, Video, Registrations, Player Development, Activity & Logs, Communication — read/write for each module.

The exact rows shown depend on which modules your organization uses.

About defaults and overrides

Every built-in role (Admin, Staff) comes with a default set of capabilities. The override screen shows those defaults pre-applied — you only edit a row when you want it to differ from the role default. If you change your mind, click Revert on that row.

For organizations with non-standard permission needs, you can create entirely custom roles with their own default capability set — see How roles and capabilities work in 360Player.
