Follow these steps to create a schedule for your group activities, starting with setting up a resources database.

Steps to create a schedule

1. Prepare the resources database

Before creating a schedule, ensure that a resources database has been set up.

2. Create a new schedule template

  1. Navigate to Scheduling and Templates.

  2. Click on Create new.

  3. Add a title, description, and select the starting day for the weekly template.

  4. Click Continue.

3. (Optional) Configure time slots

  1. Select Slots to add time slots to the template.

  2. Input times for each day, or use the same slots for the entire week.

4. Add bookings to the schedule

  1. Click New booking.

  2. Select the time and day for the booking.

    • If the booking repeats for the same group at the same time on multiple days, select all applicable days to duplicate.

  3. Select the group for the booking.

  4. Select the resources the booking will use.

  5. Choose the event type.

  6. Add the event title and description.

  7. Click Confirm booking.

  8. Repeat this process for all weekly fixed events for your groups.

Multiple resources can be assigned, but the main resource will serve as the location.

5. Finalize and publish the template

  1. Click Review and publish.

  2. In the dialogue box, add the date range(s) that the schedule will cover.

    • Note: Applying this schedule to dates where another schedule already exists will overwrite the old schedule. Club members will be notified of the change.

6. Adjust event creation settings

Use the tick boxes to set the following:

  • Publish event: Decide if the event will appear on the calendar.

  • Add current group users: Automatically add all current group admins, staff, and players as attending.

  • Add new group users: Automatically add new members joining the group as attending.

7. Preview and publish the schedule

  1. Click Preview to review the schedule.

  2. Click Publish to apply the schedule.

  3. You will receive a notification once the schedule is published to all calendars.

Your schedule is now live and visible to the group!
