Agreements

Capture and record a member's consent — a code of conduct, a waiver, a medical declaration — as part of a registration form.

An agreement is a piece of text a member has to read and accept — a code of conduct, a photo-rights waiver, a medical declaration — attached to a registration form so the acceptance is recorded against their submission. Agreements are not legal contracts; they are a structured way to capture consent and keep a record of it, so check the wording with your own legal advisor if that matters in your region.

The model

Three rules are worth knowing before you build anything.

  • An agreement has two names. Internal name is only for your admins — "This name is only for internal use in your organization" — and Title is what the member sees.

  • Once someone signs it, the text is frozen. After the first signature, Title and Content become read-only so signed copies keep saying what was actually agreed to. You can still change the Internal name. If the wording needs to change, duplicate the agreement and attach the new one instead.

  • Whether consent is mandatory is set per form, not per agreement. The same agreement can be required on one registration and optional on another. That switch lives on the form, not here.

Create an agreement

  1. Go to Settings > Agreements.

  2. Click Create new.

  3. Fill in Internal name, Title and Content. All three are required.

  4. Click Create.

To reuse an agreement with changed wording, open its row menu and pick Duplicate — the copy opens prefilled with the internal name suffixed "(copy)" and nothing locked.

Add an agreement to a registration form

Agreements do nothing until a form uses one.

  1. Open the registration form you want to change.

  2. Find the Agreements section — "Add agreements to your registration".

  3. Click Add agreement and pick one or more. There is no limit.

Each agreement on the form shows either Consent required or Consent not required. Open its menu to switch with Set consent as required or Set consent as not required, to View agreement, or to Remove it from this form. Required means the member cannot submit without accepting; not required means they can decline and still register.

An agreement you have archived stays on any form it was already attached to, marked Archived.

What the member sees

During registration they reach a step headed Review and sign agreements. Each agreement shows its Title and content, with Read all to expand anything long. Under it, Accept by typing your name and a Type your full name field, then Accept. If consent is not required they also get Decline, and the typed name is only needed when they accept.

Find a signed record

Every acceptance is stored against the submission it came from.

  1. Open the registration submission.

  2. The agreement appears with its full text as it stood at signing, and Signed name underneath — or Status showing Declined if they declined.

  3. Click Download record for a PDF.

The PDF is headed Agreement submission record and carries Club, Member, Submission ID, Registrations, User ID, Submitted (UTC), Signed name, Timestamp and a Content hash of the agreement text — so you can show the wording has not been altered since it was signed.

To see how much an agreement is being used, click it in the list. Its page shows a Usage table with Name, Usage type (Registration) and a Signed count per form, or Not in use yet.

Archive and restore

Archiving retires an agreement without touching anything already signed.

  1. Open the agreement's row menu and pick Archive, then confirm.

  2. It moves to the Archived tab. Existing signed records are unaffected and stay downloadable.

  3. To bring it back, open it from Archived and click Restore.

An archived agreement cannot be added to a form, and any form still carrying it shows it as Archived.
