Import events with AI

Paste or upload a season schedule and let AI turn it into events on your calendar.

Before you start

Anyone with permission to create events in a group can use this, not just org. admins. If you don't see Import events with AI… on the calendar, ask your admin to turn on the feature for your organisation.

Supported file formats

The importer accepts CSV files or pasted text. If your schedule is in another format, convert it to CSV first:

  • Excel: File > Save As > CSV (Comma delimited)

  • Google Sheets: File > Download > Comma Separated Values (.csv)

  • PDF or a printed schedule: copy the table and paste it as text instead. The importer reads plain text directly, so there's no need to convert it to CSV.

Start an import

  1. Open the group's calendar, choose Create, then select Import events with AI….

  2. Give the import a title, then upload a CSV file or paste your schedule as text.

  3. AI reads through it. A short file finishes in seconds, and a full season schedule with hundreds of rows can take a little longer (you can import up to 1,000 rows at a time).

Review and fix any issues

When the upload finishes, rows are grouped by team so you can check each one before anything is created.

  • The filter view called Needs your answer flags anything the importer couldn't work out on its own, for example a team name that matches two groups (like two "U14" teams), a missing venue, or a missing date or time. Answer once and your answer applies to every matching row.

  • The row table is editable. Fix any cell directly, or exclude any row you don't want imported.

  • Rows that match an event already on the calendar (same team, start time, and title) are automatically detected as duplicates and left out of the count, so importing the same file twice won't create duplicates.

  • If a schedule covers several teams or age groups, the importer matches each one to the right 360Player group and shows a separate tile per team.

Confirm settings and create the events

You can expand each team's section to check the settings that will apply to its events:

  • Event duration and meet-up time

  • Invite settings:

    • Who's automatically invited

    • RSVP deadline

    • Whether events are published to the group's website

Once you've got everything set up the way you like, click Confirm to create the events.

Finish (or undo)

The completed screen shows how many events were created and links you to the calendar.

If something isn't right, you can undo the entire import if you want to. This removes everything it created, except any event that's since had RSVPs, results, or comments added. Those are left alone and flagged for you to check manually instead of being deleted.

If some rows couldn't be written—for example, because the calendar was locked or the event type wasn't allowed—you'll see a partial failure screen, listing what didn't work and why, with an option to retry only the rows that failed.

Troubleshooting

  • Wrong team, or asked to pick one. Two teams sharing a name can't be told apart by name alone. Answer the picker once and it's remembered for the rest of the file. (e.g. if your club has two "U14" teams, one under "Boys" and the other under "Girls" in the organisation structure)

  • A row is missing information. The importer asks instead of failing the whole file. Answer the question on the review step for just that row.

  • No events found. Check the file has recognisable dates, times, and team names. Plain text works, but very unstructured formatting can be harder for the AI to read.

  • Import seems stuck. Large files are read in the background, so give it a few minutes before trying again.
