Import contacts with AI

Upload a CSV file of your members and let AI map the columns, so you can add players, parents and staff in one go.

Upload a CSV file of your members, and AI matches the columns to 360Player and tidies the data, so you can add players, parents and staff in one go. You review everything before anything is created, and you can undo the import afterwards.

To import events instead, see Import events with AI.

Before you start

Contacts are imported for the whole organisation, from the organisation's settings. If you don't see Contacts when you start an import, ask your organisation admin to check your permissions.

Supported file formats

The importer accepts one CSV file with up to 1,000 rows (the header row is not counted) and up to 5 MB. If your list is in another format, convert it to CSV first:

  • Excel: File > Save As > CSV (Comma delimited)

  • Google Sheets: File > Download > Comma Separated Values (.csv)

The first row of your file should hold the column names, in any language, and every other row is one person. Without column names, the columns are numbered and you match them yourself.

Duplicates

Include an email address (or a Swedish personnummer) for each person, so people who are already in your club are recognised.

If a row has no email address (or personnummer), the importer looks at first name, last name and date of birth instead. If those match someone already in your club, the row is flagged as a possible duplicate for you to check. A row with no email address, personal number or date of birth can't be matched, so importing it again adds the person twice.

Start an import

  1. Go to Settings > Import and click New import.

  2. Keep Contacts selected. If you only see one type, you go straight to the next step.

  3. Give the import a name in Import name, drop your CSV file or click to browse, and click Continue.

  4. You see the first lines of the file as 360Player reads them, with the number of rows and columns. If the columns look wrong, click Remove and upload a corrected file. Otherwise click Continue.

Check the column mapping

AI matches each column in your file to a property in 360Player. It only sees the column names, never the people's details. Change any match with the list next to the column, or choose Do not import to skip a column. Each property can be used for one column, and anything marked in red must be fixed before you can continue.

  • Groups. Write the names of teams that already exist, and separate several teams with a semicolon. The import doesn't create groups.

  • Roles. Use Player, Staff or Admin, or one of your club's own roles. Words like coach are recognised too. Each person has one role, which applies to every group in their row. A role without a group applies to the whole organisation.

  • Parents. Use the Parent 1 and Parent 2 columns on the child's row, with name, email and phone for each. Add the child's date of birth, and an email address for each parent you name. A parent who already exists is linked, and otherwise a new parent contact is created.

  • Dates. If the dates in your file could be read two ways, you are asked Which date order does your file use? For example, for the 4th of July:

    • Day first (04/07/2025)

    • Month first (07/04/2025) (🇺🇸 American format)

Review and fix any issues

Before anything is created, the review step lists what the importer couldn't work out under Needs action, for example an invalid email address, a group that can't be found, or a person who may already be in your club.

  • Fix a value. Type the right value and click Confirm. It is corrected on every row where it appears.

  • Group not found. Choose the right group under Select a group and click Confirm, or click Skip this group.

  • Possible duplicates. A card says Looks like someone already in your club. Choose Same person as [their name]: update them or Different person: add as new before you can continue. People are matched by user ID, personal number or email, and people with the same name and date of birth are flagged as possible duplicates. An update only writes the cells that are filled in.

  • The row table is editable. Click a cell to change it, or untick a row to leave that person out. The tabs All, Needs a fix, Possible duplicates and Excluded filter the list, and each row is marked New, Update or Excluded.

  • Clean up with AI (optional). This panel tidies names, dates, phone numbers, countries, roles and group names. Nothing is sent to AI until you click it. Names, dates of birth, phone numbers, countries, nationalities, roles and group names are sent to an AI service that runs on 360Player's own Azure deployment within the EU. Safe changes are applied to the table straight away, and the list shows what changed. A change that gives someone admin access waits until you select it and click Apply, or Discard it.

When no problems are left, click Continue.

Confirm and import

The last step summarises how many contacts and parents will be created or updated, which parents are linked to which children, and who becomes staff or admin. Once it looks right, click Import contacts and keep the tab open while it runs.

Finish (or undo)

The completed screen shows how many contacts were added, updated and unchanged. Worth a look and Not imported list anything to check. Click View contacts to see the people, or Import another file.

If something isn't right, click Undo this import. It removes the contacts and parents the import added and puts back what it changed. Anything edited since is left for you to check. You can undo for three months. After that, the uploaded file and the import's details are deleted and the import can't be undone. You can also undo from the list under Settings > Import. If the import fails, nothing is added and you can try again with a corrected file.

Invite people to claim their accounts

Importing adds people as contacts. They can log in once they claim their account through an email invitation, which you send from the contacts list:

  1. Go to Management > Contacts and tick the people you want to invite.

  2. Click Actions in the bar that appears, then Send account invitation.

  3. The dialog shows how many contacts will get an email. If you selected children, tick Also invite the parents of the minor contacts in the selection so their parents get the invitation too. Click Send.

Young players often have no email address of their own, so select them and tick the parent option. Contacts without an email address, and anyone who already has an account, are skipped.

Troubleshooting

  • The file is refused. A file can have up to 1,000 rows and 5 MB, and must be a CSV. Split a bigger list and import the parts one by one.

  • A group isn't found. Check the spelling against your organisation structure, or pick the right group on the review step.

  • A person ended up in the wrong place. Click Undo this import, fix the file and import again.
