Edit, cancel, or delete an event

Update event details, cancel an event without losing the record, delete it entirely, or apply changes to a whole recurring series — for admins and event organizers.

Open the event, click the three-dot menu, and pick Edit, Cancel event, or Delete. For recurring events you also get an Edit series option that changes every upcoming occurrence at once. You need admin rights or to be the event's organizer.

Edit an event

  1. Open the event from the Calendar.

  2. Click the three-dot menu next to the event title and choose Edit.

  3. Update any field — title, location, date, time, participants, attachments, RSVP/invite timing.

  4. Click Save.

Participants get a push notification automatically when the location, date, or time changes. Their existing response (accepted / declined) carries over.

Edit a recurring event

If the event is part of a series, the three-dot menu shows both Edit and Edit series:

  • Edit — changes only this occurrence. The series stays intact and the other dates aren't affected.

  • Edit series — opens the series form. Changes you save here apply to all upcoming events in the series. Past events are not modified.

Tip. If you've already edited individual occurrences (e.g., moved one practice to a different field), editing the series overwrites those occurrence-level changes with the new series values. Re-apply individual edits afterwards if needed.

Cancel an event

Cancel keeps the event in the calendar marked as cancelled — useful when you want a record that it was scheduled but didn't happen.

  1. Open the event.

  2. Three-dot menu → Cancel event.

  3. Confirm.

The event title is struck through and a yellow banner reads "This event has been canceled." Participants get a notification.

To bring it back, open the cancelled event and choose Republish event from the same menu. A new notification goes out to all participants.

Cancel applies to one occurrence only. There's no "cancel series" action — to stop an entire recurring series, either delete the series (below) or edit the series end date.

Delete an event

Delete removes the event entirely. It disappears from participants' calendars and from attendance reports.

  1. Open the event.

  2. Three-dot menu → Delete.

  3. Confirm in the browser dialog.

Deletion is permanent and can't be undone. If you want to keep a record, use Cancel event instead.

Delete a recurring series

Open the series page (click the recurring icon on any occurrence, or go to the series from Calendar). The three-dot menu offers two options:

  • Delete series — removes all upcoming events in the series and detaches past events from the series (past events stay in the calendar as standalone records).

  • Delete series and events — removes every event in the series, past and future, including attendance history.

Pick the first if you want to preserve attendance data; pick the second only if the entire series was created by mistake.

Who can do this

  • Edit / Cancel / Republish — admins, staff, or the event's designated organizer.

  • Delete — admins or staff with delete rights. Organizers without delete rights see Edit and Cancel but not Delete.

  • Edit series / Delete series — same gating as the single-event equivalents, applied to the series.

Troubleshooting

  • I don't see Edit, Cancel, or Delete. You don't have the role required. Ask an admin to update the event or grant you the right.

  • Edit series isn't shown. The event isn't part of a series — it was created as a one-off.

  • Participants didn't get a notification after I edited. Notifications only trigger when location, date, or time changes. Edits to description, participants, or attachments are silent.

  • I cancelled the wrong event. Open it and choose Republish event. Notifications go out again.
