Run tryouts with team invitations

Collect applicants with a Tryouts registration, then invite the players you pick through a Team registration.

A tryout season uses two registrations. A tryout registration, of the Tryouts type, collects applicants and signs them up for a tryout. An acceptance registration, a Team registration set to By invitation, then handles team offers, payment and team membership.

How a tryout season works

  1. Players fill out your tryout registration and pick the tryout they'll attend.

  2. You run your tryouts and evaluate players.

  3. In the acceptance registration, you assign the players you pick to teams and invite them. The players come from your tryout registration.

  4. Players accept, complete the registration and pay. They're added to their team when they submit.

Set up your tryout registration

  1. Open Registrations and click Create.

  2. Under Choose a registration type, pick Tryouts.

  3. In Set up your tryouts, add a Title, Category and Description.

  4. Under Which teams are holding the tryout?, click Pick teams and pick one team or several. Each team gets its own tryout.

  5. Under When and where?, set the day and Location of each team's tryout.

  6. Under Should the tryout cost anything?, choose No, it's free, or choose Yes, there's a fee and add a price. The price is added to every tryout, and you can change it per tryout later.

  7. Click Continue. The registration opens in its workspace, which saves as you go.

Your tryouts are in the Tryouts step. Click Create new tryout to add another. Add programs or tryouts to a registration covers every tryout setting.

Use one registration for all tryout applicants. Keep your whole intake in one registration instead of one per age group or team. Reports are per registration, so one registration gives you a single view of every applicant, their answers and the money collected. One Tryouts registration can hold a tryout for every team.

Collect the data you need for team assignment. In Questions, think ahead about what you'll need to sort players. Common fields include:

  • Contact information

  • Date of birth (as a Date question), for age groups

  • Gender (as a Single choice question), for gender-based groups

  • Location, previous experience, preferred position, or any other criteria your club uses

  • Waivers, attachments, licenses and so on

Finish setting up the registration. A registration with tryouts always requires a 360Player account. Add a confirmation email in Email if you like. The registration starts as a draft, so when you're ready to take applications, go to Settings > Publish settings, set Status to Open and click Open now.

Set up your acceptance registration

This is the registration players complete once they're offered a spot on a team. You can set it up at any time, even after your tryouts are over.

  1. Open Registrations, click Create and pick Team registration.

  2. In Set up your team registration, add a Title (for example U13 Boys, season 2026/27), Category and Description.

  3. Under How should players join a team?, choose By invitation. This turns on Invite only for you, so only players you invite can submit.

  4. Click Connect teams to and pick every team you'll invite players into.

  5. Under Would you like to add a registration fee?, choose No, it's free, or choose Yes, there's a fee, select the products (membership fee, kit and so on) and click Add payment option. You can offer Upfront payment, Installment plan or Subscription plan.

  6. Click Continue.

One price for every team, or one per price point. The setup creates one product bundle that covers every team you connected. If some teams pay a different amount, go to Products, click Set up new product bundle, add its products and pick its teams under Team invitation. When a player accepts, they're registered to their bundle and added to their team.

Connect to your tryout registration. In the Team invitation step, click Connect player pool and pick your tryout registration. This lets you pick players from your tryout submissions when you assign and invite.

Open it before you invite. You can't send invitations from a draft or a closed registration. Go to Settings > Publish settings, set Status to Open and click Open now. To open it later, choose Schedule publish for later and pick a date: once it has an opening date, you can start inviting before it opens.

Assign players and send invitations

Once tryouts are done, open your acceptance registration and go to the Team invitation tab. Available players shows everyone from your connected tryout registration as well as your contacts. Assign players to teams, then click Invite players to send the offers. Invite people to a registration covers each step and every invitation status.

How the invitation arrives depends on the player:

  • Players with a 360Player account get an in-app notification and an email. If a parent or guardian is linked to the player, the parent gets the notification too, and the email goes to the parent.

  • People without an account get an email only, sent to their own address or to their billing contact's. The link asks Who is this invitation for? and helps them create an account before they register.

The link takes them to the acceptance registration to complete their membership and payment.

Track responses and manage your roster

Watch each player's status in the Team invitation tab. When a player accepts and submits, they're added to the team. If a player declines, assign the spot to someone else from your tryout pool and send a new invitation.

Tips for a smooth tryout season

Set up every tryout before you open the tryout registration. Players pick a tryout when they sign up, so add each team's tryout and date first.

Don't split your tryouts across several registrations. One registration per tryout season keeps your data clean and your reporting accurate.

Keep tryouts free if you don't charge. Choose No, it's free during setup.

Customize your invitation email. When you send team offers, include the team name, the season start date and anything else players need to know. A clear, personal invitation gets more acceptances and fewer follow-up questions.
