Registration form possibilities

What each registration type turns on, and every question, product bundle, eligibility and setting option.

A registration is built from the questions you ask, the product bundles you sell, the rules that decide who can pick them, and the settings that control when and to whom it is open. Its type decides which of these features you get. This is a tour of what is possible. For the steps, see Create a registration form.

What each registration type turns on

  • Standard — questions, product bundles with Field-based rules, agreements, email and settings. No team invitation, no team connection, and no events step.

  • Tryouts — everything in Standard, plus a Tryouts step with one tryout per team. The setup step asks Should the tryout cost anything? when your club takes payments. No team invitation and no team connection.

  • Team registration — the setup step asks How should players join a team? and Would you like to add a registration fee?. With By invitation, product bundles use team invitation, the registration stays Invite only, and you get a Team invitation step. With Self selection, each product bundle has a team connection and can use Field-based rules. No events step.

  • Programs — everything in Standard, plus a Programs step. Each program has one fixed price. No team invitation and no team connection.

Only the Tryouts and Programs types have an events step. Registrations made before types existed show it as Events, with Create event group. For how they work, see Add programs or tryouts to a registration.

A registration that already uses a feature keeps it, even if its type would not offer it today.

Questions

Every question is added from Add question in the Questions step.

  • Default field — 360Player's built-in contact fields (name, email, date of birth, phone number, address and similar), and any custom questions your club has saved on other registrations.

  • Custom question — a new question just for this registration, in the answer type you need: Short text, Single choice, Multiple choices, Date, Attachment and more.

On a Single choice question, tick Display as dropdown to show the options in a dropdown instead of a list.

Mark a question Required to make it mandatory. Only required Date, Single choice and Multiple choices questions can be used in field-based rules.

Product bundles

Product bundles live in the Products step. A product bundle groups what the registrant pays for with the rules for who can pick it, so one registration can offer different prices or age groups. It only needs a title and a description. The rest is optional.

  • Products — one or more products to charge for, each with its own validity dates, quantity limits, tax rate, whether the registrant can change the quantity, and whether it is required.

  • Payment options — how a product is paid: Upfront in one payment, Installment over a set number of payments, or Subscription as a recurring charge.

  • Custom email — a confirmation email for this product bundle only, which replaces the registration's general email for its registrants. It only sends if Send email upon submission is on for the registration.

Products and payment options only show when your club takes payments.

Product admins. No registration type lets you add product admins any more. A product bundle that already has them still shows them, and you can remove them.

Eligibility

Each product bundle uses one way to decide who can pick it:

  • Open product bundle — anyone can pick it.

  • Field-based rules — it depends on how the registrant answers a required Date, Single choice or Multiple choices question. With several rules, the registrant must meet all of them. Not offered on a Team registration using By invitation.

  • Team invitation — only invited players can pick it. Offered only on a Team registration using By invitation, where the setup step adds the teams to the product bundle.

Team connection

A team connection adds everyone who registers through a product bundle to one team when they submit. It is only offered on a Team registration using Self selection, where the setup step creates one product bundle per team. To steer each player to the right bundle, the setup step either asks which team they want or matches them on age and gender.

Team invitation settings

On a Team registration using By invitation, the Team invitation step links this registration to an earlier one, such as a tryout, so you can invite specific players to specific teams. Click Connect player pool to pick the earlier registration. When an invited player submits and pays, they are placed on their team. Sending invitations is covered in Invite people to a registration.

Visibility

  • Public — listed on your public form site and in your club lobby, open to anyone.

  • Club lobby — visible to members of your club only.

  • Unlisted — reachable only through the direct link.

Availability

  • Limit responses — closes the registration once a set number of submissions is reached.

  • Limit to one submission per user — blocks a second submission from the same account. It needs Require a 360Player account too. Without it, the same person can still submit more than once as a guest.

  • Invite only — only people who have been invited can submit. A Team registration using By invitation always stays invite only.

  • Require a 360Player account — registrants must log in or create an account before they submit. It turns on by itself once the registration has tryouts or programs.

The registration's Status is the master switch: Draft is not available to anyone, Closed blocks new submissions, and Open accepts them. Tick Schedule open or Schedule close to change the status at a set time.

Submission email

Turn on Send email upon submission to email registrants a confirmation, and click Customize email to change the subject and content. A product bundle's custom email replaces it for that bundle's registrants, but only while this setting is on.

Duplicate a registration

Click Duplicate on a registration in the Registrations list to copy it. The copy keeps the type, questions, product bundles and agreements. Its tryouts or programs are copied with their settings, group, organizers and price, but not their dates: they show Dates not set and registrants can't pick them until you add dates. A copy that has tryouts or programs starts as a Draft.
