How to invoice your members

Once you’ve set up your product library and organized your contacts database, you’re ready to start invoicing your members. This guide explains the steps for sending invoices and creating subscriptions in 360Player.

Before invoicing, it’s recommended to organize your product library. This ensures all your offerings, such as memberships, training fees, or merchandise, are structured and ready to assign to your members. If you haven’t created your products yet, check out our product creation guide.

Sending invoices

360Player offers two options to create invoices:

  1. From the Contacts list: Select multiple contacts from the Contacts list and use the Actions button to create invoices.

  2. From the Payments menu: Navigate to the Invoices or Subscriptions pages under the Payments menu and click New Invoice or New Subscription.

Once you’ve chosen a method, follow these steps:

Step 1: Select the invoice recipient

The first step is to decide who will receive the invoice. You can:

  • Choose specific contacts: Select individual contacts or groups from your contact database. Each invoice will be sent to the billing contact associated with the selected members.

Step 2: Add products to the invoice

After selecting recipients, it’s time to assign products to the invoice:

  1. Click Add Products.

  2. Choose a product from your library or create a new product directly from this screen.

  3. If the product has multiple pricing options (e.g., monthly or yearly payments), select the pricing option you want to apply.

  • For recurring prices, 360Player will automatically generate a subscription tied to the selected billing cycle.

  • For one-time prices, a standard invoice will be created.

Step 3: Configure invoice or subscription settings

Next, customize the details of your invoice or subscription:

  • Invoice terms: Adjust the due date and include a description with the invoice.

  • Subscriptions: If you’ve selected a recurring price, configure:

    • Start date: Choose whether the subscription begins immediately or at a future date.

    • Installment plans: Set the total number of payments to create an installment plan. Once all payments are made, the subscription will automatically complete.

Note: Discounts can be applied to invoices, but this feature is not available for Stripe-integrated accounts.

Step 4: Review and send

When your invoice is ready, click Send. A pop-up will appear asking if you want to:

  • Send immediately: The invoices are sent right away.

  • Wait 15 minutes: This option allows you to catch and correct any errors before sending.

Best practices

  • Prepare your product library first: A structured product database ensures your invoicing process is smooth and organized.

  • Check recipient details: Ensure billing contacts are up to date to avoid delays in payments.

By following these steps, you can efficiently manage invoices and subscriptions in 360Player, keeping your club's financial processes organized and professional.
